What the guests experienced: a warm atmosphere, smooth transitions, always someone there when you needed them. What sits behind that is the actual work.

The Youth Empowerment Hub by GenNow, the youth project of the Bertelsmann Stiftung, is not a standard event. Two days, 170 young engaged people from across Germany, keynotes, panel discussions with politicians at state, federal and EU level, parallel workshops, design labs, networking, all at the same time, all on one floor.

The theme: "Take Back the Feed - Youth, Media & Mental Health."

The place: Space Shack Berlin, Schoeneberg.

The customer journey starts before the first guest arrives

Good hosts do not wait until something goes wrong. They have long since made sure it does not.

Two planning calls with the GenNow team. A detailed room concept. An ops plan for every moment of the day, including the breaks, the transitions and the changeover times in between. Because exactly where no official programme is running is where it gets decided how an event feels.

What was concretely prepared before the first participants arrived:

  • Room setups for all four zones, Yellow Giant (100 people plenary), White Dwarf (30 people circle of chairs), Hangout Hub (25 people workshop), Skylab (15 people breakout)
  • Digital door locks coordinated, all relevant rooms open, main entrance in always-open mode, participants could move freely and safely
  • Buffet line for 170 people mirrored in the lobby area, no queue, natural flow
  • Cloakroom set up with tags, luggage area organised, check-in with guest list and wristbands ready

Everything was in place. Everything was ready. The team was rested.
